Responsibilities
- Set up document control and filing system in accordance with site manual
- Receive, stamp, log and distribute all incoming documentation in a timely manner
- Ensure document control registers are kept up to date
- Produce reports from documents control registers for project team
- Advise Senior Site Representative when documents are becoming overdue
- Preparing and formatting letters, meeting minutes, reports pre-issue
- Maintain project team attendance logs
- Handle all kinds of submittals, reports and correspondences.
- Responsible for overall coordination of controlled documentation within the project site.
- Daily routine activities of Document Control, including distribution of documents, maintaining electronic folders and directories, logs/tracking and retrieval of documents and drawings
- Maintain registers/logs of all receipts and issues or submissions of documents and correspondence.
- Ensure the effective running of the day-to-day operations of the document center.
- Register, log, distribute, track, issue, maintain and control office and site project documents and drawings.
- To ensure compliance with quality assurance requirements at all time.
- Handling intake, scanning, verification, and storing documents.
- Receives and issues documents under transmittal, externally and internally according to document distribution matrix;
- Ensures that all engineering documents are well checked and submitted on time prior to the documents submission due date;
- Ensures that all documents have no errors in filenames, revisions, submissions, etc before submitting it to the recipient department/party to avoid confusion;
- Ensures that controlled copies of latest approved documents and drawings are given to the appropriate staff, contractors and suppliers as applicable;
- Allocates document numbers to internally prepared documents and incoming documentation;
- Maintains updated records of all approved documents and drawings in the Document Archive and the File Server with easy traceability;
- Maintains the files and control logs as required by the project procedures.

Requirements
- Diploma or bachelor’s degree
- Minimum 5 years’ experience as Document Controller
- Experienced user of MSOffice applications and use of document management systems
- Must be fluent in the English language
- Must be able to work proactively within multi-cultural teams
- Must work professionally and in an ethical manner
